Routines for this seat

Enable any of these on the Routines page. Defaults run at 06:00 UTC; change the day and time, choose whether actions ask first, and pick email, in-app or both.

  • Monthly Close

    Monthly

Close checklist state, Stripe reconciliation, and missing QuickBooks entries.

Delivered by email and in-app notification, XLSX attached.

  • AR Aging Watch

    Weekly

Open A/R aging, dunning status, and the top overdue accounts.

Delivered by email and in-app notification.

  • Stripe collections to Copper tasks

    Daily

Builder routine: every overdue invoice, dunning subscription, failed charge and open dispute in Stripe becomes a Copper task for the customer's account rep, and completes itself when Stripe shows the payment settled. Replaces the dev portal's daily Stripe hygiene digest. A run summary goes to summaryRecipients in config/sales-routines.json.

    Delivered by a thread.

  • QuickBooks exports: refresh the Drive sheets (monthly)

    Monthly

Builder routine: on the 1st, before the monthly close and the AR routines, Marque mails Anand asking for the latest Sales by Customer and Transactions by Vendor exports from QuickBooks as Google Sheets in the CFO's Drive folder, listing each sheet's current modified date and period from finance.drive_files. Skips itself once a production QuickBooks realm is connected (docs/finance-drive.md).

    Delivered by a thread.

  • AR watch (weekly, Stripe and QuickBooks)

    Weekly

Builder routine: every Monday Marque reports what Stripe says is owed us (open and past-due invoices by age bucket and currency, the movement since the snapshot from 7 days earlier, the ten largest overdue balances with days overdue and last payment date, subscriptions in dunning, and what was collected in the week) and mails it to the CFO (review recipients until arWatch.deliverToOwners is on). Since Oct 22, 2026 the QuickBooks enterprise invoices join with Intuit's aged receivables total as the authoritative figure.

    Delivered by a thread.

  • Expense review (monthly, vendor spend from QuickBooks)

    Monthly

Builder routine: on the 2nd Marque reads the QuickBooks mirror (BigQuery finance.txn_lines: bills, expenses and vendor credits on P&L expense accounts, payroll and people as one redacted payee; the CFO's export sheets only as a fallback) and mails the expense review for the month just closed: spend by month for the trailing 12 months, by vendor (top 25, the rest as CSV), by account, the month-over-month movement with the largest increases and decreases, the vendors new this month and the vendors not seen for 3 months. USD and GBP are reported apart and never summed. Review recipients until expenseReview.deliverToOwners is on; then anand@marketcheck.com plus the active CFO and CEO principals' org addresses, resolved from Firestore, never a group (docs/finance-reporting.md).

    Delivered by a thread.

  • Cash, burn and payables (weekly, QuickBooks)

    Weekly

Builder routine: every Monday after the AR watch, Marque reads the QuickBooks mirror (BigQuery finance) and mails the cash run: bank cash by account (GBP at the latest GBP document rate, stated), card balances, the Sunflower revolver and net cash; net cash at the last 13 month-ends; burn (operating plus investing cash flow) over 3, 6 and 12 complete months with runway on net cash as a labelled projection; bills overdue or due in the next 14 days (payroll as one redacted line); invoices falling due in the same window (top 10, all in a CSV) with Intuit's aged receivables total; and the fixed monthly outflows (8 largest recurring payees, one payroll and people line, revolver interest). Review recipients until cashWeekly.deliverToOwners is on; then the CFO seat and Amanda Lee (docs/finance-reporting.md).

    Delivered by a thread.

  • Close pack (monthly draft, QuickBooks)

    Monthly

Builder routine: on the 5th Marque mails the DRAFT close pack for the month just closed, from the QuickBooks mirror: accrual P&L against the prior month, the same month last year, YTD and prior YTD with the main expense lines (payroll as one line); the same lines less the one-off register; cash against accrual; balance sheet at month end against the prior month end; cash flow; close-quality checks (documents posted after month end, late journal entries, closed years touched since the last issue, future-dated journal entries); and what moved since the last issue. Review recipients until closePack.deliverToOwners is on; then the CFO seat and Anand with the preparers copied (docs/finance-reporting.md).

    Delivered by a thread.

  • Close pack (re-issue on the 15th, QuickBooks)

    Monthly

Builder routine: on the 15th Marque re-issues the close pack for the same month (months keep moving for weeks after they end), with every figure that moved by $1,000 or more since the draft of the 5th. Same content, recipients and review mode as finance-close-pack-monthly (docs/finance-reporting.md).

    Delivered by a thread.

  • Billing watch (weekly, QuickBooks)

    Weekly

Builder routine: every Tuesday Marque checks the QuickBooks mirror for billing and close-quality exceptions and mails only when one is found: open invoices never emailed, monthly billing not issued, price changes over 15% with no credit memo, manual accruals counted twice against an invoice, late or back-dated postings and changes to the closed books, possible duplicate bills and expenses, reused or TEST invoice numbers, and invoices more than 180 days past due. Each check carries a count, a USD total at the document rate and its rows (CSV from 10 rows). Payroll documents are counted, never listed. Review recipients until billingWatch.deliverToOwners is on (docs/finance-reporting.md).

    Delivered by a thread.

  • UK invoices (monthly draft, QuickBooks and API usage)

    Monthly

Builder routine: on the 1st, after the 05:45 QuickBooks mirror and the daily Kong usage rollup, Marque drafts the invoices of every active UK (GBP) client for the month just ended and mails them to anand@marketcheck.com only: fixed fees QuickBooks already issued (recurring templates read live, read-only), template lines due but not issued, usage lines (billable Kong calls, status below 400, at the client's own rate from its last usage invoice: per call, over a quota, access fee plus per call, or per product), overage past the quota its contract text names, and checks (unbilled usage, missing rates or counts, rate outliers, spikes, clients billed last month with nothing this month). Every invoice is labelled DRAFT; a CSV carries every line for keying. Never creates, edits or sends anything in QuickBooks; never emails a client (docs/finance-reporting.md).

    Delivered by a thread.

Boundaries

What protects you

The rules are code, not prompt. They apply the same way to every seat.

Every department brain, tiers T0 to T3
A CXO seat reads the org brain and all eleven department brains at tiers T0 to T3. Tier T4 (executive-explicit) is deliberately excluded: those files need a named grant, seat or not.
The lens frames, it never grants
Pick your seat lens on the Ask screen and answers lead with your KPIs and end with one recommended action. Access comes from grants.json and your principal record; the lens is appended after the ACL filter.
Actions wait for your click
Jira issues and comments, Copper tasks and notes, and delegated email are actions. Each shows an approval card with its consequence before it runs, is always a create or an append, and lands in the audit log with your name.
Everything is audited
Every ask records the sources and tools it used; every denial records its reason. Unreadable grants deny, missing secrets 401, and the actions kill switch stops every write.
